Privacy policy

This Privacy Policy describes how Folks Logic (“VOVO”, “we”, “us” or “our”) collects, uses, shares and protects personal information when you use the VOVO appointment booking platform, its websites, APIs and messaging integrations, including WhatsApp. By using VOVO, you agree to the practices described here.

1. Information we collect

  • Account information: name, email address, phone number, password (stored only in hashed form), and business details such as business name, address, industry, logo, timezone and branding preferences.
  • Customer and appointment data: customer name, email, phone number, booked services, staff assignments, appointment date and time, status, notes and booking source (for example online, walk-in, phone or WhatsApp).
  • Visit notes and attachments: where a business records them, notes about a visit and uploaded documents, which may include health information entered by clinics and practitioners.
  • Payment information: payment amounts, currency, method and transaction identifiers processed through our payment partners, such as Razorpay. We do not store card numbers on our servers.
  • Staff and operational data: staff names, contact details, schedules, leave and service configuration entered by business users.
  • Messaging and WhatsApp data: when a business connects WhatsApp, we process phone numbers, inbound and outbound message content, message metadata, media (including voice notes where enabled) and the configuration needed to deliver booking and notification services.
  • Device and usage data: IP address, browser type, device information, approximate location derived from network data, logs and interaction events needed to operate, secure and improve the service.
  • Preferences: notification choices for email, in-app and WhatsApp messages, marketing opt-outs, and related delivery records.

2. How we use information

  • Provide, operate and maintain appointment booking and business management features
  • Create and manage user accounts and business profiles
  • Schedule, confirm, remind, reschedule and cancel appointments
  • Process payments and subscription billing
  • Send transactional messages (email, in-app and WhatsApp) such as booking confirmations, reminders and support replies
  • Provide WhatsApp booking assistance, and marketing campaigns sent by a business, subject to consent and Meta's policies
  • Provide customer support and respond to enquiries
  • Monitor security, prevent fraud and abuse, and enforce our terms
  • Improve product performance, reliability and user experience
  • Comply with legal obligations

3. WhatsApp and the AI booking assistant

VOVO connects to the WhatsApp Business Platform, directly through Meta or through our messaging partner, so businesses can talk to their customers about appointments. When this is enabled:

  • Message content and phone numbers are processed to deliver booking conversations and notifications.
  • Messages may be processed by AI service providers so the assistant can understand requests such as a service, a date or a time. The assistant reads each booking back and books only after the customer confirms it.
  • Businesses are responsible for obtaining any consent their customers must give before receiving WhatsApp messages or marketing campaigns.
  • Replying STOP opts a number out of marketing messages from that business. Booking confirmations and reminders continue.
  • Use of WhatsApp is also subject to the WhatsApp Business Policy and the Meta Privacy Policy.
  • We do not sell personal data obtained through WhatsApp messaging.

4. How we share information

  • Service providers that help us run VOVO: hosting, databases, email delivery, file storage, payment processing, messaging infrastructure and AI processing.
  • Meta / WhatsApp and our messaging partner, when a business uses WhatsApp features, as needed to send and receive messages.
  • Payment processors such as Razorpay, to complete transactions.
  • Business users of VOVO, who control the appointment and contact data of their own customers.
  • Authorities, when required by law or legal process, or to protect rights, safety and security.

We do not sell personal information. Businesses remain responsible for how they use the customer data they collect through VOVO, in line with applicable privacy law.

5. Cookies and local storage

We use your browser's local storage to keep you signed in and to remember preferences such as light or dark mode. We do not use advertising cookies.

6. Data retention

We keep personal information for as long as needed to provide the service, fulfil the purposes in this policy, meet legal and accounting requirements, resolve disputes and enforce agreements. Businesses may request deletion of account or customer records, subject to legal retention needs and technical limits.

7. Data security

We use administrative, technical and organisational measures designed to protect personal information, including encrypted transport (HTTPS), access controls, hashed passwords, encryption of stored third-party credentials, and private storage for visit attachments opened only through short-lived links. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your rights and choices

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Request deletion of your information
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent
  • Opt out of non-essential marketing messages

To exercise these rights, contact us at support@folkslogic.com. We may need to verify your identity before completing a request. If your data was collected by a business that uses VOVO, we may refer your request to that business.

9. Children's privacy

VOVO is not directed to children under 13 (or the equivalent minimum age where you live). We do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will take appropriate steps to delete it.

10. International transfers

Your information may be processed and stored in countries other than the one where you live. Where we transfer data, we take steps intended to ensure a level of protection consistent with this policy and applicable law.

11. Third-party services

VOVO links to and integrates with third-party services, including Meta, WhatsApp and payment providers. Their privacy practices are governed by their own policies, not this one.

12. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date above changes when we do. Continuing to use VOVO after an update means you accept the revised policy, where permitted by law.
